I've used ChartSwap for years to request records & billing for our personal injury clients. They are the most user-friendly ROI portal of the dozen or so we have to use to get the information we need. ChartSwap has the fastest turn-around from request until records/bills are received; they also know what the ROI laws are for each state as we've never been invoiced incorrectly. Any time I've had an issue it's resolved almost immediately with their options for ChartSwap help or contacting the provider via ChartSwap. I wish every provider was on here!

I have wasted so much money sending requests to the wrong providers based on Chartswap's list. They have an inaccurate provider list, and they don't care about it. I have contacted them multiple times. Not only do they list incorrect providers for facilities, but they don't refund your request money when you get rejections. Very poor company. I'm taking the majority of my business elsewhere.

I've been a paralegal now for 25+ years. Every time I order records from Chartswap, there is always an issue. Our firm got charged $82 just to tell us there are no records despite me providing them with the State Statute on Copy fees. They are ridiculous.

I've been working in Personal Injury for over a decade and have had nothing but issues anytime we are mandated to use Chartswap. None of these types of companies do. It's extremely frustrating when we have clients trying to finalize their cases and we have to wait for CHARTSWAP! It's been 6 months, and we are still going back and forth. They don't know Personal Injury Laws. They don't know how to handle reductions. They don't know about Pro-Rata. We call, they say to fax it, we get the fax back saying to go through the chartswap portal, we call again and say the supervisor told us to fax it, we fax it again and once again it comes back saying to go through chartswap. WE DID and were told to fax the "special" request. OH! and we pay for records that get emailed to us, charged per page that they don't even have to print. Because that makes sense. Smh. I wish companies would hire extra staff and pay them to handle records and bills instead of paying an outside company.

Six Months Waiting for Records — This is Unacceptable We requested itemized medical and billing records in March 2025 and provided all requested documentation at that time. It is now October 2025 — over six months later — and we still do not have the billing records. Each time we request an update from ChartSwap, we get runaround and vague answers instead of clear timelines or real accountability. This delay far exceeds the timeframes allowed under state and federal law for fulfilling medical record requests. HCA Kingwood made a serious mistake by farming out records to ChartSwap. Outsourcing does not absolve a hospital of its responsibility to patients. Professionalism and patient care do not stop at discharge — records access is part of patient care. Working at a Law Firm that represents injured clients, I see firsthand how these delays harm patients’ legal and financial recovery. Clients deserve better. A hospital’s positive experience can be tarnished when months‑long delays in medical records block case resolution and prolong a stressful chapter of their lives. I plan to post a negative review every time I encounter this level of incompetence — both here and on HCA Kingwood’s own Google page — until there is meaningful improvement. My clients deserve better, and so do all patients. HCA and ChartSwap: it’s time to revive professionalism and take accountability. Six months for itemized records is unacceptable.
