They're actively hostile to work with when trying to confirm something as simple as whether there's an outstanding balance. If a bill was sent to collections, they will not give you that information, and ghost you when you message for clarification. It honestly seems like a scam to try and get as many bills sent to collections as possible, because it takes so long to confirm balances, they have often been sent to collections by the time the request is actually processed by Chartswap.

Patients have a legal right to obtain their medical records directly from the provider. ChartSwap acts as an unnecessary middleman that overcomplicates the process and imposes extra fees for prompt production of records, despite state statutes that explicitly prohibit charging patients for access to their own medical records.

Untimely mailed records (if even mailed at all). They now charge a $10 check processing fee per invoice, and then charge it AGAIN if the invoice had TBD for Provider Fees listed (I'm talking $70 for BILLING ONLY records to be delivered electronically). Providers do not respond when messaged and there is no urgency to their customer service.

Very bad system. They never answer. I been waiting 3 months for a response. Contacted the provider directly, they did a 3 way with Chartswap. They said we will send it asap. That was 2 months ago. Why do providers hire a company that doesn't work in timely manner? They are only making it worse for themselves. They will just have to arrange payments with clients now. Instead of getting paid in full.

I submitted a request but canceled it within 10 seconds—well before any meaningful service could have been performed—yet they still charged me $72. When I asked for a refund, they flat-out refused, which feels exploitative and predatory. I would caution others to think twice before doing business here.

This company is horrible, I have had to use over the years and its just getting worse. we get affidavits without them being notarized, documents missing, not uploaded. delaying requests over 30 days is unnecessary. oh but make sure you prepay !!

Using Chartswap is much more quick and convenient for our law office than contacting most healthcare providers directly, who often times take 30 to 60 days to fill a request for records. Also the method of payment is quick and easy and I love the instant download feature!

This company is extremely unethical and inefficient. We have to now pay fees for using the service, even though we don't submit requests for records through the ChartSwap portal. If we request medical records directly from a facility and they use ChartSwap, we now owe a fee just to download the records on top of the invoice the medical facility sends for the records. We have no choice but to pay it. The interface is terrible and difficult to navigate. I've never encountered such an obvious money-grab from a third-party facilitating company.

Un-enthical practice. They are charging clients a $30 Digital Delivery fee, $10.00 extra to process a check for payment. They do not provide the billing until after the obtain the information and then charge you $1 for "Custodian Fee" and ANOTHER $10 to pay that $1 charge with a check. Checks are required in the legal community for accounting purposes as these charges are paid by the patient. So a simple one page bill now costs $51 to obtain. Should be illegal as it is definitely un-ethical! P.S. They charge the $40 up front even if they determine the patient was not serviced by the medical provider. They do not issue a refund.

ChartSwap is the best of the best! They have an easy, straight forward platform that is always improving wherever enhancements are possible. Their platform/site makes the records retrieval and records fulfillment process simple, straight forward and enables requestors and providers to communicate back and forth seamlessly without the need for many phone calls and emails. Their customer service is fast, friendly and on point.
